Linking Items to Listings

What are Listings?

Listings are products on a sales channel such as Amazon. When you sync a channel, PrepBusiness pulls in the listings from that channel so you can connect them to your inventory items.

What are Items?

Items are your internal inventory products in PrepBusiness. They track stock levels, identifiers, dimensions, and services.

Linking an item to a listing connects your internal inventory to the sales channel. This is required for creating outbound Amazon shipments and ensures your inventory stays in sync with the channel.

If an item is not linked to a listing, you will need to manually connect it before it can be used in an outbound shipment for that channel.

There are four ways to link items to listings:


Method 1: Add Items via the Listings Tab (Recommended)

When adding items to an inbound shipment, the "Add Items" dialog has two tabs: Items and Listings. Using the Listings tab is the recommended approach because it automatically links the item to the listing when it is added.

  1. Open your inbound shipment.
  2. Select the "Add Items" button.
  3. Switch to the Listings tab.
  4. Search for the listing you want to add.
  5. Select the listing to add it to your shipment.

If a matching item already exists, it will be linked to the listing automatically. If no matching item exists, a new item will be created and linked to the listing.

Note: If you add items using the Items tab instead, the item will not be linked to a listing automatically. You would need to link it manually afterwards.


Method 2: Link from the Shipment Page

If an item on a shipment is not linked to a listing, you can link it directly from the shipment page.

  1. Open your inbound shipment.
  2. Find the item that needs to be linked—it will show a "Link to Listing" option.
  3. Click "Link to Listing" to open the search modal.
  4. Search for the listing you want to link.
  5. Select the listing and click the link button to connect it.

This method is useful when items were added via the Items tab or through an integration and need to be linked to their channel listings afterwards.


Method 3: Link from the Channels Page

On the Channels page, each listing shows its linked item in the "Associated Item" column. Listings that are not yet linked to an item will show a "Create Or Link Item" button.

  1. Open the Channels page.
  2. Select "View Listings" under the channel you want.
  3. Find the listing you want to link.
  4. Click the "Create Or Link Item" button to create a new item or link an existing one.

Method 4: Link from the Inventory Page

You can also link listings to items manually from the Inventory page:

  1. Open the Inventory page and select the item you want to link.
  2. Select the Listings page.
  3. Click the "Add New Listing" or “Link Existing Listing” button.

Syncing Listings from a Channel

Listings are synced from the channel automatically on a regular basis. If you need the latest listings sooner, you can request a manual sync:

  1. Open the Channels page.
  2. Select "View Listings" under the channel you want.
  3. In the top right corner of the Listings page, select "Sync Listings".
